Why You Should Scan Receipts

If you keep all of your receipts, either for business or personal reasons, then you know how quickly they can accumulate into an unmanageable mess. But there is a better way. Rather than keep all of your receipts stuffed into a shoebox or two, why not scan them and only keep the electronic copies. This will allow you to get rid of all of the clutter and provide an easy way to access all of the data.

If you would like to start scanning receipts then you will need some type of scanner. A standard document scanner or specialized receipt scanners will be able to handle the task. Below are a few other reasons why you may want to consider buying a scanner for your receipts.

For Tracking Purchases

If you have ever bought a product with a mail-in rebate attached then you know that having a copy of the receipt is a good idea. Most mail-in rebate offers require you to send in the original copy but if your rebate gets lost in the mail then you have no proof of your purchase. Having a back up like a digital copy of the receipt mean you still have that proof. It is also sometimes necessary to have a sales receipt for warranty issues. In fact, any time you make a large purchase like a computer or television it is wise to scan the original receipt in case you need to refer back to it.

Tax Preparation

Having digital copies of receipts can make tax season less hectic for most people. Anyone who is self-employed or runs their business from home knows that you need to keep your receipts to calculate your business expenses for the year. Other people need to keep certain receipts for special deductions like home improvements or state sales tax on their federal tax returns. Having a scanner like a scansnap that can digitize all of those important receipts on the spot ensures that you won't misplace an important receipt while also making it easier to find and extract all the information you will need when April rolls around.

Reimbursable Expense Tracking

Anyone who travels for their jobs accumulates receipts each week which must be turned in for reimbursement from their company. But what if you lose a receipt here or there or perhaps the receipts get lost on their way to the appropriate person? You would be safer to have digital copies of all of your receipts in case something is lost or some other mistake is made. By scanning all of your travel receipts weekly prior to turning them in you will have your own record of your expenses and how much exactly you are owed.
